Phase I: Opening the Administration
Thank you for entrusting our team with assisting you through the trust administration process. We have deliberately broken the trust administration process down into five distinct phases. During Phase I, we “Open the Trust Administration.” Phase I consists of activities related to establishing the attorney-client relationship, providing information that will be needed for formal notifications and other trust activities, and the preparation and signing of preliminary documents to establish your authority to act on behalf of the trust.

We will be providing you with our Engagement Documents for you to review and sign electronically. These documents contain important information about the scope of each phase of our fixed-fee trust administration services (and describe certain circumstances which may not be included), and our obligations to each other. The documents also have helpful information and recommendations to ensure that you have a successful experience with our Firm. Please read these documents carefully and sign them as soon as possible. Engagement Documents must be signed before we can move forward with providing you important advice and preparing the preliminary documentation.

You will receive an email and text message with a link to pay the fees for our trust administration services using a quick, simple and secure online payment system. We have made every effort to make this as convenient as possible for you, and offer three payment methods: e-check, credit card and a “pay later” option offered through our third-party payment processor.
Payment should be made directly from a trust account, if that is possible. If not, as in the case where we may need to provide legal work to assist you in getting access to accounts, we can discuss alternatives.

Prior to your your Initial Consultation, you completed the first part of our online Confidential Trust Administration Questionnaire. You will now have the ability to log back into the Confidential Trust Administration Questionnaire and complete the remaining sections. Please complete this as thoroughly as possible. However, if there is something that you do not know or have not decided, you may skip that portion and we will discuss it during our next appointment.

For the next step, we will begin to collect more detailed documentation and copies of specific documents. We will also collect the original Will (if in your possession) and lodge it with the Court. To conclude Phase I, we will be preparing a Acceptance of Appointment, Certification of Trust, third-party authorizations so that we may deal with banks, advisors and other third-parties, obtaining an EIN for you and have you come into the office to sign these preliminary documents.

The last step in Phase I will be a notary appointment at our office to sign all preliminary trust administration documents. At this point, you will have the power to act on behalf of the trust so that you can begin to move through the remaining phases
